Conditions

  • A swimmer’s age shall be determined as at MIDNIGHT on DECEMBER 31ST 2019.
  • The closing deadline for all entries and full payment is 10PM on WEDNESDAY 17TH APRIL 2019.
  • Qualifying entry times must have been achieved on or subsequent to WEDNESDAY 18TH APRIL 2018 (i.e. in the 12 months immediately preceding the closing date for the Championships) and must have been achieved at meets licensed at Levels 1, 2 and/or 3. Masters times, registered with the Swim England Rankings database, which meet/exceed the published qualifying times and conditions, will also be accepted.
  • For 2019, the previous “60 Day Exclusion” entry clause is now restricted to apply to swimmers entering Team Events ONLY.
  • There is no longer any restriction preventing a swimmer from entering individual events at these Championships with their current Club regardless of when they may have moved, as long as they are a member of that Club at the closing deadline.
  • This meet will be managed using the HY-TEK MEET MANAGER 7 software application. With the specific exception for Para Swimming (PS) Athletes, ALL Club/Multiple/Masters/Individual entries should be made using standard export file format from;
    Hy-Tek Team Manager (Full version or Lite (Free) version – the Lite version may be downloaded here https://hytek.active.com/Demos/Swim_Team_Manager_Lite.exe ).
    Active Hy-Tek Swim Manager – online Team Management/Website.
    Team Unify-based online Team Management/Website.
  • MANUAL INDIVIDUAL ENTRIES WILL NOT BE ACCEPTED NOR WILL ENTRIES SUBMITTED USING SPORTSYSTEMS SOFTWARE.
  • ALL PS Athletes seeking to enter using times which meet/exceed the published PS consideration times and conditions, must do so using the manual Individual PS Entry Form (link below).
  • As per the Meet Conditions, all of the PS Multi-Classification (MC) events shall be run during the first weekend of the meet (Saturday 4th thru Monday 6th May – Youths/Relays weekend).
  • PS Athletes that achieve a heat time in an MC event during this meet which qualifies them for inclusion in the start list (finalists and reserves) for the Regional Final for their age-category shall be permitted to compete in this final ONLY WHERE THEIR ORIGINAL SUBMITTED ENTRY TIME MET ALL THE QUALIFYING CRITERIA FOR THAT EVENT/AGE-CATEGORY. In this circumstance, the PS Athlete will be able to claim both a PS medal and a Regional medal where their performance merits this.
  • During these Championships, both 1500FR & 800FR long-distance events will be available to all competitors regardless of gender and shall be swum in a mixed format with awards being split by gender and age-group. Swimmers wishing to enter these events must have a qualifying time for the event being entered i.e. there is no equivalency/alternative option for qualifying.

Poolside Passes

  • Coach/Team Manager and Non-Technical Volunteers Poolside Passes may be applied for here – 2019 Coach Pass Application – Enquiries should be sent by email to Jeanette Edmiston.
  • Coach and Team Manager passes will be available to collect in the main foyer from the first Saturday morning.
  • Any Coaches or TMs who have not applied for a pass should bring details of their DBS clearance and will need to pay for the pass at the foyer (by card) prior to entering the venue; a pass will then be printed in the timing suite.
  • Coaches or TMs with no pass will NOT be permitted on poolside and will have to pay for a spectator seat. There will be NO EXCEPTIONS to this.

Guidance for entering team events

  • The Championships shall be open to team event entries only from clubs affiliated to London Swimming as defined by Swim England. All teams shall consist of 4 members.
  • A competitor entered in the name of one club in an individual event may not compete in the name of another club in a team event. Clubs may enter one or more teams but club members shall swim for one team only.
  • Team entries must be included in the Hy-Tek entry file and MUST BE SUBMITTED BY THE CLOSING DATE. Swimmers names and the intended Team Order of Swim can be included at this time and we would encourage Clubs to include possible reserve names at this time to assist with any necessary later changes.
  • An updated Hy-Tek entry file that includes up to eight names for each team from which the competing team will be drawn must be returned to the Meet Manager, by email, no later than 10PM on SATURDAY 27TH APRIL 2019.
  • The final Team Order of Swim will be the first four swimmers in the order submitted in the Hy-Tek entry files unless a coach contacts the Meet Manager in the Timing Suite before the start of the warm up for the session in which the team event is taking place.

Spectator Entry Fees

  • Entry to spectate the meets shall cost £10.00 per day (regardless of arrival/departure time) for all adults (16 years old and over).
  • Entry to spectate the meets shall be free-of-charge for all children (15 years old and younger).
  • There will be no printed programme(s) available for this meet – we encourage all attendees to download and print the online programme(s) at home prior to your arrival. Secure Contactless & Chip&Pin payment facilities will be available at the entrance to the facility.

Live Results

Results will be posted to http://www.londonswimresults.org/2019/Summers/ after sessions have been completed (not live). Due to the use of Hy-Tek Meet Manager software, the presentation of these reports will be in a slightly different format than usual but they will be comprehensive and easy to access.

Medals Tables, Top Club Table & Top Boy & Girl Tables will be available on-line but will be posted on-line after each weekend.

For Youths, only HDW events and Finals will be scored on top 10 places in each event (not Relay or Preliminary Heats) and these points shall be used to calculate Top Club, Top Boy and Top Girl for later publication.

For Age Groups, only HDW events and Finals will be scored on top 8 places in each event (not Relay or Preliminary Heats) and these points shall be used to calculate Top Club, Top Boy and Top Girl for later publication.

Warm-down Arrangements

Here are the details for Warm-Down for the first weekends of the 2019 London Regional Summer Championships (Youths & Relays);

  • Saturday 4th May: one (1) lane in the Training Pool (in short course format) until 1.30pm, the whole Diving Pit from 2pm.
  • Sunday 5th May: two (2) lanes in the Training Pool (in short course format) until 1.30pm, the whole Diving Pit from 2pm.
  • Monday 6th May: one (1) lane in the Training Pool (in short course format) all day.
  • Saturday 11th May: one (1) lane in the Training Pool (in short course format) until 1.30pm, the whole Diving Pit from 2pm (may be a section of Diving Pit until 3pm).
  • Sunday 12th May: two (2) lanes in the Training Pool (in short course format) until 1.30pm, the whole Diving Pit from 2pm.
